NOTICE OF CHANGE IN CLAIM PROCESS FOR STATE AID ON THE PURCHASE AND INSTALLATION OF STATIONARY METAL DETECTORS, SECURITY CAMERAS AND SAFETY DEVICES FOR ELECTRONIC PARTITIONS BEGINNING WITH 2009-10 AID


Currently districts submit claim forms for these items to the Office of Facilities Planning. Facilities Planning calculates an approved cost according the statutory maximum cost allowance and enters the expense for aid into SAMS on behalf of the district. The Office of State Aid uses the expense to calculate aid on the BLD3 output report.

Beginning with devices purchased on or after 7/1/08, districts no longer need to submit a claim form to the Office of Facilities Planning to claim aid on these expenses. Instead, beginning with 2008-09 expenses for 2009-10 aid, districts will claim expense for aid on these items on a new SAMS Form FB Schedule N that will be available in SAMS when the software is released in July 2009. Detailed reporting instructions will be available at that time via SAMS help screens. SAMS will calculate maximum expense eligible for aid.

Districts must still contact the Office of Facilities Planning regarding electrically operated partition retrofit projects. Retrofitting expenses will not be aided unless the district has received approval from the Office of Facilities Planning.

PRIOR YEAR ADJUSTMENT CLAIMS FOR 2008-09 AID

Office of Facilities Planning claim forms will remain available on the Facilities Planning website through 6/30/2010 so that districts may continue to claim/revise 2007-08 expenses for 2008-09 aid. Aid generated by claim/revisions received between 7/1/09 and 6/30/10 will be added to the prior year adjustment queue and be paid as funds become available for this purpose.
