BOCES SAMS State Aid Conversion Update/August 2010 SAMS Training

 

Dear Colleagues,

Following is a brief BOCES SAMS Financial System conversion update:

  1. Please mark your calendars! Based on information provided by most of the BOCES at the Desmond last month, as well as some requests we received, SED will provide training on the new SAMS system on Wednesday and Thursday August 4th and 5th. The August 4th training will be held in the upstate area and the August 5th training will be held in the downstate area. Details will be provided shortly.

  1. Thank you! We have received most of the resubmitted 2009-10 claim year files from most of the BOCES. Please continue to send additional forms as soon as you are able. Our BOC and CMP output reports have been converted to SAMS and we can only test them thoroughly for each BOCES if we have all your BOCES Aid-related data.

  1. Initial testing of converted aid calculations/output reports will use your resubmissions of 2009-10 claim year data. However, by November 1st we will need to conduct for each BOCES a thorough review of 2010-11 aid and 2011-12 expense calculations/reports from the new system. For this year only, your 2010-11 State Aid claim data (including 2010-11 school year projection data) will be due on September 2nd instead of on October 1st so that we have time to address any conversion-related issues that arise for your BOCES. The 9/2 submission will be a preliminary but complete submission which you can revise throughout September and part of October. After we prepare the November 15th frozen data file, you may continue to revise your claim and projections throughout the claim year to ensure accurate aid payments and projections.
